How Feldnotiz handles information
This notice describes the current technical processing in the private Feldnotiz service. The organisation operating your workspace is the controller for its users and recordings.
Technical notice · updated 2 September 2026
Information processed
Account and workspace identifiers, including the version and date of your account recording agreement; recordings you deliberately upload; transcripts, report drafts, approved documents, templates and glossary entries; usage counters; and security or operational logs. Authentication security metrics contain event counts only—no email address, password, code, IP address or request body.
Why it is processed
To register and authenticate users, accept and structure recordings, create reviewable report drafts, preserve user-approved documents, enforce workspace limits, prevent abuse, and operate and secure the service. Your workspace operator determines the lawful basis and must inform affected people before a recording is made.
Storage and recipients
Application data is stored in AWS eu-central-1 (Frankfurt) with encryption in transit and at rest. Content required for transcription and structuring is sent to the configured AI provider through its API. Provider-side API storage is disabled where supported; mandatory security retention, subprocessors and transfer terms depend on the signed provider agreement. Feldnotiz does not sell personal information.
Retention and deletion
Audio is deleted after transcription; temporary transcripts are deleted after successful processing or a non-retryable rejection. Retryable failures keep the transcript for recovery within the 24-hour cleanup window. Abandoned or failed sources are scheduled for cleanup within 24 hours. Saved reports and their versions remain for up to 90 days unless deleted earlier. Application logs remain for 14 days. Encrypted recovery backups may retain deleted database records during the configured recovery window and are not available through the application.
Your choices and rights
You can erase source audio or delete a report from the workspace. For access, correction, restriction, objection, portability, erasure, withdrawal of consent, or a complaint, contact your workspace administrator or the service operator identified in your agreement or registration information. The responsible operator must identify its privacy contact and supervisory authority in its customer-facing notice.
